How to Prepare Print Artwork for Custom Shirts

A great shirt design can lose its spark fast when a tiny screenshot, blurry logo, or last-minute font swap reaches the printer. The good news is that learning how to prepare print artwork does not require a design degree. A few smart choices before production can help your shirts, team gear, event tees, and branded apparel look crisp, intentional, and ready to wear.

Whether you are ordering one birthday shirt or uniforms for a growing Orlando business, the goal is the same: give your printer a clear design file and clear instructions. Here is what to check before you approve your custom apparel.

Start With the Best File You Have

The original design file is almost always the best place to start. If a graphic designer created your logo, ask for the original vector file, such as AI, EPS, SVG, or a print-ready PDF. Vector artwork is built from mathematical paths rather than a fixed grid of pixels, so it can usually be enlarged without becoming fuzzy. It is especially useful for logos, lettering, mascots, and clean line art.

A high-resolution PNG can also work beautifully, particularly for full-color artwork, photos, and designs with a transparent background. JPG files are common, but they do not support transparency and can show compression artifacts around edges. A JPG may be perfectly usable if it is large and sharp, but it is not automatically the best choice just because it looks fine on a phone screen.

Avoid pulling artwork from social media, screenshots, online previews, or a logo copied from an email signature. These files are usually small and heavily compressed. When enlarged for a shirt, the result may look pixelated or soft.

Check Resolution at the Intended Print Size

Resolution is one of the biggest factors in print quality. For raster artwork, including PNGs, JPGs, and photos, aim for 300 pixels per inch at the size you want it printed. That last part matters. A 300-pixel-wide image may sound large, but at 300 pixels per inch it is only one inch wide in print.

For example, a 10-inch-wide front design should ideally be about 3,000 pixels wide. If the same file is only 1,000 pixels wide, it may still work for a smaller left-chest print, but not for a large full-front graphic. Enlarging it inside a design program does not add real detail. It simply spreads the existing pixels farther apart.

Not every design needs to be oversized. A left-chest logo often prints around 3 to 4 inches wide, while a standard adult full-front print may land around 10 to 12 inches wide, depending on the garment and artwork. Youth sizes, ladies’ fitted styles, and small garments require extra care because a design that looks balanced on an adult XL can overwhelm a youth small.

Keep Fine Details Realistic

Very thin lines, tiny type, and small gaps can be difficult to reproduce, especially on fabric with texture. If your design includes a web address, sponsor list, or detailed illustration, view it at the actual planned print size before approving it.

A useful rule is simple: if you struggle to read a line of text on screen at print size, it will not become easier to read on a T-shirt. Simplifying a crowded design often creates a stronger shirt anyway. Consider moving lengthy details to a back print, using a QR code only when it has enough clear space, or choosing a larger print area.

Set Up Colors for the Garment, Not Just the Screen

Screens are bright and backlit. Shirts are not. A neon green that pops on a monitor may print differently on black cotton, and a dark navy logo can disappear on a similarly dark garment. Think about contrast first: light artwork generally stands out best on dark shirts, while dark artwork reads well on light garments.

If your organization has brand colors, provide the preferred Pantone colors or a clear reference whenever possible. Color matching can vary by print method, garment color, fabric type, and artwork. A printed color may not be an exact match to a color displayed on a phone, but a good reference gives the production team a much better target.

Transparent areas also deserve a quick check. A PNG with a transparent background is often ideal, but make sure the design does not contain an accidental white box or a leftover background from photo editing. On a white shirt, that problem can hide. On a colored shirt, it will show immediately.

Choose the Right Print Method Before Finalizing Artwork

The artwork itself can help determine the best decoration method. Direct-to-Garment printing is a strong option for detailed, full-color designs and smaller quantities, particularly on cotton or cotton-blend garments. Direct-to-Film printing offers vibrant color and flexibility across many fabrics, making it a popular choice for logos, graphics, and designs with fine detail.

Screen printing can be an excellent fit for larger orders with a limited number of spot colors. It creates durable, bold results, but highly detailed artwork or color-heavy gradients may call for another method. Embroidery gives polos, hats, jackets, and workwear a polished, dimensional look, although tiny text and intricate photographic details do not translate the same way in thread.

Dye sublimation works best on compatible light-colored polyester items, while Ultra Prints can offer a smooth, high-quality option for certain apparel projects. The right choice depends on your quantity, garment, budget, deadline, and design. There is no one-method-fits-everything answer, which is why sharing the intended use of your apparel is so helpful.

Outline Fonts and Confirm Usage Rights

If you are sending editable artwork, convert fonts to outlines before submitting the file. This turns the letters into shapes, preventing a missing-font surprise when someone else opens the file. If you are not comfortable doing that, include the font name and send a PDF preview so the layout is easy to verify.

Also make sure you have permission to use every element in the design. That includes logos, school marks, team names, photographs, licensed characters, and artwork found online. “I found it on Google” is not the same as having print rights. For business apparel and fundraising merchandise, this step is especially worth handling early so production is not delayed.

Give Clear Placement and Sizing Notes

Artwork files tell a printer what the design is. Your order notes explain where and how it should appear. State whether the print belongs on the full front, left chest, full back, sleeve, or another location. If there are multiple prints, identify each file clearly, such as “front logo,” “back event graphic,” and “right sleeve sponsor.”

It also helps to mention whether the design should be centered, aligned with a pocket, or placed above a garment feature. Keep in mind that pockets, seams, zippers, hoodies, and different garment sizes can affect placement. A centered adult front print may need an adjusted location on a V-neck or a ladies’ cut.

For group orders, decide whether every garment gets the same artwork. Names, numbers, departments, and individual titles add personality, but they also add variables. Send spellings in a clean, final list and double-check them before approval. A quick proofread is much easier than replacing a misspelled jersey.

Build in Time for a Proof

A proof is your best chance to catch a problem before ink, film, or thread touches a garment. Review spelling, dates, phone numbers, colors, print locations, and the scale of the design. Ask yourself whether the artwork will be readable from a few feet away, not just when viewed close up on a computer.

Be careful with rushed changes. A 24-hour turnaround on in-stock garments can be a lifesaver for a fundraiser, tournament, reunion, or staff event, but the artwork still needs to be ready for production. Sending a complete file, garment choice, quantity, size breakdown, and placement instructions helps keep a fast project fast.

When Your Artwork Is Not Print-Ready Yet

Do not let an imperfect file stop a great shirt idea. Maybe your logo only exists as a small JPG, your event graphic needs a cleaner layout, or you have a sketch that needs professional polish. Bring what you have, along with your deadline and a clear idea of who will wear the item.

Before you send your file, take one final look at it at actual size, on the shirt color you plan to order. That small pause can be the difference between a design that merely prints and one people are excited to wear.
